Pinnacle Data Discovery for Zoom: user guide

Pinnacle Data Discovery is an intake form that asks how much data your company holds. A Zoom account owner or admin can connect Zoom once, and the form fills with a few account-level counts and storage totals. It is read-only, it reads counts only, never meeting content, and nothing is sent to Pinnacle until you click "Send to Pinnacle".

Before you start

  • Who can connect: The Zoom account owner or an admin. Meeting and recording figures need a Zoom Pro plan or higher.
  • Browser: a desktop browser that allows pop-ups for data.hqpinnacle.co (Zoom's sign-in opens in a small window).
  • No Pinnacle account is needed, and nothing is installed in Zoom apart from the authorization you grant.

The permissions Pinnacle Data Discovery asks Zoom for, all read-only:

  • user:read:user:admin: View the profile of the person connecting, to see who connected and that they are an admin.
  • user:read:list_users:admin: List users, so we can count users and licensed users.
  • report:read:list_users:admin: View the active hosts report, so we can add up meetings, meeting minutes and participants per month. We keep only the totals.
  • cloud_recording:read:list_account_recordings:admin: List the account's cloud recordings. We read only each recording's file types and sizes.

Adding the app

  1. Open the portal at https://data.hqpinnacle.co/tools.
  2. In "Connect your tools", find the Zoom card and click Connect Zoom.
  3. A Zoom window opens. Sign in as the account owner or an admin, review the permissions, and click Allow.
  4. The window closes by itself and the Zoom card fills with your figures, tagged "From Zoom, as of <date>".

Pinnacle uses Zoom's access once to read the figures and revokes it straight away, so Pinnacle keeps no ongoing access. To refresh the figures later, click "Connect Zoom" again. If something goes wrong, see Troubleshooting.

Using it: each figure

After you connect, the Zoom card shows these figures. You can edit or clear any of them before sending; an edited figure is tagged "Edited".

  • Users: Active users in your Zoom account. From Zoom's user list (we count; names and email addresses are not kept).
  • Licensed users: Of those, the users with a paid (licensed) seat. On very large accounts (more than 10,000 users) this is scaled up from the users read, and the card says it is an estimate.
  • Meetings, last 6 months: Meetings held in your account, month by month, added up from Zoom's active hosts report (we keep only the totals, never the per-host rows). The per-month numbers are shown under the figure. Needs a Zoom Pro plan or higher.
  • Meeting minutes, last 6 months: Total meeting minutes over the same months, from the same report. Needs Pro or higher.
  • Meeting participants, last 6 months: Total meeting participants over the same months, from the same report. Needs Pro or higher.
  • Cloud recordings, last 12 months: The number of cloud recordings made in the last 12 months, from your account's recording list. We never download, play or open a recording. Needs Pro or higher with cloud recording. On accounts with very many recordings, the card says it is an estimate.
  • Cloud recording size, last 12 months: The total file size of those recordings, added up from the file sizes in the recording list. Nothing is downloaded.
  • Recordings with an audio transcript: Of those recordings, how many have an audio transcript file, counted from the file type only. We never read a transcript.

The card also shows the Zoom account it read from. When you are ready, add your company name, your name and your work email under "About you" and click Send to Pinnacle. Pinnacle uses the figures only to review your submission and reply to you. You can also skip connecting and type the figures in yourself. We never download, play or read any recording, transcript, chat, meeting summary or other content, and we never change anything.

Removing the app

  1. Sign in to the Zoom App Marketplace at marketplace.zoom.us as the account owner or an admin.
  2. Click Manage, then Added Apps (or search for "Pinnacle Data Discovery").
  3. Select Pinnacle Data Discovery and click Remove.

What removal means: Pinnacle already revokes its access as soon as the figures are read, so removing the app changes nothing you use day to day; it only stops anyone connecting again without a fresh authorization. Zoom tells Pinnacle when the app is removed. Pinnacle stores no Zoom tokens and keeps no Zoom data apart from the forms you chose to send, so there is nothing else to delete. Removing the app does not delete a form you already sent; to ask us to delete one, email privacy@hqpinnacle.co.

Troubleshooting

The messages below are the ones the Zoom card shows.

  • "Your browser blocked the Zoom window. Allow pop-ups for this site, then try again."

Allow pop-ups for data.hqpinnacle.co in your browser's address bar or settings, then click "Connect Zoom" again.

  • "Zoom didn't let this account read company-wide figures. Ask your Zoom account owner or an admin to connect, or leave this card empty."

Connect with the Zoom account owner or an admin. A user with the Member role can't read account-wide figures.

  • "Meeting figures need a Zoom Pro plan or higher, so they are empty."

Zoom's active hosts report is only available on Pro or higher. The user counts still fill in; type the other figures in yourself if you know them, or leave them empty.

  • "Pinnacle's Zoom app is missing a permission it needs, so the figures couldn't be read. This is on our side, not your plan or role. Leave this card empty or type the figures in, and we'll fix it."

Nothing for you to change in Zoom. Type the figures in yourself or leave them empty, and let us know at the support email below so we can fix the app's permissions.

  • "Access wasn't granted, so nothing was read. Click "Connect Zoom" again and choose Allow, or leave this card empty."

You chose Decline or closed Zoom's consent screen. Click "Connect Zoom" again and choose Allow.

  • "The connection took too long and expired. Try again."

The sign-in took more than 10 minutes. Click "Connect Zoom" again.

  • "Zoom is limiting requests right now. Wait a minute, then try again."

Zoom's API rate limit was reached. Wait a minute and connect again.

  • "The recording figures are an estimate: this account has too many recordings to read every month in full, so the rest is scaled up from what was read."

Nothing is wrong: on accounts with very many recordings we read part of each month and scale up. You can replace the figure with your own before sending.
