Downtime is a clinical problem
When clinicians cannot reach the chart, they cannot see allergies, current medications, or recent results. Care slows, errors creep in, and staff fall back to paper they have not used in years. Treat EHR availability as a patient safety metric, not just a technology one.
That reframing changes who cares about uptime. It is no longer the IT team's number. It is the medical director's, the nurse manager's, and the administrator's number too.
Know your real failure points
An EHR depends on a chain: internet, internal network, servers or cloud connection, identity and login, and the application itself. Any link can break the whole thing. Map the chain and ask what happens if each piece fails at the worst possible time.
Single points of failure hide in plain sight. One internet line, one switch, one aging server, or one expired certificate can take down an entire clinic. Redundancy on the few critical links buys far more safety than effort spread thin everywhere.
Have a downtime plan people have practiced
Every practice needs documented downtime procedures: how to access a read-only copy of recent records, where the paper forms are, and how data gets back into the system afterward. A plan no one has rehearsed is a plan that fails under stress.
Run a short drill at least once a year. The first time staff try the procedure should never be during a real outage with patients waiting.
Monitor before patients notice
The goal is to catch the failing drive, the saturated connection, or the certificate expiring next week before any of it reaches a clinician. We watch the full chain around the clock so problems get fixed during a quiet moment instead of a busy clinic morning.
