Add email filtering that flags spoofed senders and external messages, and set a firm rule that any change to payment instructions is verified by a phone call to a known number, never by replying to the email.

Train people, then back them up

Short, regular security awareness training and realistic phishing simulations turn your staff into a strong last line of defense. The goal is not to shame anyone, it is to build the instinct to slow down and verify.
