When the WMS Goes Down, the Dollars Stack Up

Every minute your warehouse management system is dark, orders stall, trucks wait, and labor burns. Here is how to keep the lights on.

The real cost of a dark WMS

When the WMS goes down, the warehouse does not pause politely. Pickers stand idle, dock doors back up, and drivers sit in the yard on the clock. In a facility shipping thousands of lines a day, an hour of downtime is not an inconvenience, it is payroll, detention fees, and missed cutoffs that cascade into the next shift.

The damage is rarely the outage itself. It is the recovery: reconciling what shipped against what the system thinks shipped, re-keying manual logs, and untangling inventory counts that drifted while you were running on paper.

Where outages actually start

Most WMS outages are not dramatic. They are a full database disk, an expired certificate, a failed switch in the network closet, or a server that ran out of memory after a quiet update. The fixes are mundane, which is exactly why they get missed until they take down the floor.

The other common culprit is the link between your WMS and everything around it: the ERP, the carrier systems, the scanners on the floor. When that integration layer hiccups, the WMS can look healthy while orders silently stop flowing.

Building in resilience before you need it

Start with monitoring that watches the things that actually cause outages: disk space, certificate expiry, database health, and the heartbeat of each integration. Alerts should fire before users feel pain, not after the phones light up.

Then plan for failure. That means tested backups you have actually restored, a documented failover path for the WMS server, and a written manual-operations runbook so the floor knows exactly how to keep picking and shipping while IT works the problem.

How Pinnacle keeps the floor moving

We treat the WMS as a production line, not an app. That means 24/7 monitoring of the full stack, defined recovery time targets you agree to in advance, and a support team that knows your environment before the call comes in.

If your last outage turned into a half-day of cleanup, the problem was not bad luck. It was a missing plan. We will help you build one, test it, and make sure the dollars stop stacking up.
